Job Description

Job Title: Support Staff for Operations
Location: Westchester, IL
Status: non-exempt
Reports to: Conference Minister

Overview:

As part of a three-person support team, the SSO supports the general operations of the Illinois Conference of the United Church of Christ. Located at our offices in Westchester, IL, this person is the hub for human resources, property management and financial processing.

Responsibilities:

  • Human Resources
  • Support the onboarding of all new staff.
  • Ensure W9s are on file for all staff including contract staff
  • Process time reports and time off requests for all staff
  • Support the Conference Minister in maintaining personnel files
  • Support the bookkeeper with EOY tax information
  • Support the process of release of any staff including return of Conference property
  • Property Management
  • Maintain keys and records of distributed keys for all properties/offices
  • Maintain lease information and renewals
  • Establish and maintain files relating to all properties
  • Participate in Property Committee meetings
  • Communicate with attorney and Realtor as necessary.
  • Assure that all maintenance, utility and insurance bills are accurate and paid
  • File for property tax exemptions
  • Financial processing
  • Follow process developed with the bookkeeper for processing bills and check requests
  • Collect required approvals for all payments
  • Print checks, coordinate check signers, distribute completed checks
  • Keep track of grant payment schedules, covenant partner payment schedules, etc.
  • Ensure that all financial policies and procedures are consistently followed
  • Maintain electronic and/or physical files as defined by policy
  • Manage Conference credit cards
  • Process all queries regarding taxes or governmental issues
  • Maintain files for taxes and governmental issues
  • Teamwork
  • Participate in cross training with other Conference support staff
  • Provide back up assistance for the other support staff.
  • Participate in regular support staff and all Conference staff meetings
  • Support all Conference staff and elected officers as possible
  • Participate in continuing education
  • Other duties as assigned

Qualifications/Experience/Skills

  • Proficient with Microsoft office products
  • Able to work independently
  • Works well in a team environment
  • 3-5 years of office administration experience preferred
  • Attention to detail
  • Clear communication
  • Familiarity with financial processes, human resources and property management preferred
  • Familiarity with the United Church of Christ preferred
